# Give the Assistant your files

> Attach PDFs and images in a chat with the Assistant and it stores them in your media library, then turns them into a QR code that opens the PDF, a footer logo, a background cover or a QR code logo. Replacing and deleting media always waits for your confirmation.

:::try-ai-prompt {"prompt":"Here's our autumn brochure. Make a QR code that opens it, and put our logo at the bottom of the page theme. I'm attaching the PDF and the logo.","target":"assistant","description":"Attach a PDF and a logo, and let the Assistant put each one where it belongs."}:::

## Short answer

Attach a PDF or an image to your message in the [Assistant](/help/article/the-assistant-section) and say what it is for. The Assistant stores it in your workspace's [media library](/help/article/your-media-library-kinds-where-its-used-and-storage), then uses it: a QR code that opens the PDF, the footer logo or background cover of your pages, or the logo in the middle of your QR code. You never have to upload the file in the dashboard first. Replacing or deleting media is permanent, so the Assistant tells you what will change and waits for you to confirm.

## Quick summary

- Attach files to a chat message with the paperclip, up to 50 MB each
- PDFs (up to 25 MB) and images (up to 10 MB) are stored in your media library before the Assistant uses them
- A file your library already holds is not stored twice: the Assistant uses the existing media
- The Assistant can build a link with an [Open media step](/help/article/how-to-share-media-from-a-qr-code) that opens the PDF, or a menu of several PDFs
- Images of at most 3 MB can become a footer logo, a background cover, a badge or a QR code logo
- Replacing a media's file and deleting media both need your confirmation first
- Everything the Assistant stores counts toward your plan's media storage, like any upload

## What the Assistant can do with your files

| You attach | And ask for | The Assistant |
|---|---|---|
| A PDF | "A QR code that opens this" | Stores it and creates a link with an Open media step |
| Several PDFs | "A menu with our price list, floor plans and site map" | Stores each one and builds a multi-link menu, one button per PDF |
| Your logo | "Put our logo at the bottom of the pages" | Stores it and sets it as the page theme's footer logo |
| A photo | "Use this as the background" | Stores it and sets it as the page theme's background cover |
| Your logo | "Put our logo in the middle of the QR code" | Stores it and sets it as the QR code logo |
| A new version of a PDF | "Replace our brochure with this" | Lists what will change, asks you to confirm, then replaces the media's file |

You can also point to media already in your library ("use the menu PDF I uploaded last week") or give a public https link to a file, and the Assistant stores it the same way.

## How it works

### Storing the file

When you attach a file, it is uploaded with your message. The Assistant then imports it into the media library, where it gets a kind (image, PDF or video) read from its content, like any upload. The usual limits apply: images up to 10 MB and PDFs up to 25 MB, within your plan's storage.

If the library already holds the same file, even under another name, nothing is stored twice. The Assistant uses the media you already have and carries on.

Attachments themselves are short-lived. Once the file is in the media library, it stays there until you delete it.

### Images for logos and covers

A footer logo, a background cover, a badge and a QR code logo must each be an image of at most 3 MB. If you attach a larger image, the Assistant says so and asks for a smaller one rather than trying.

### Replacing a media's file

Ask the Assistant to replace a media with a file you attach. It first reads where the media is used and tells you:

- Which Open media steps will hand out the new file
- Which page themes will show it as their cover, badge or footer logo
- Which QR codes use it as their logo: they keep their current logo and are no longer linked to this media

It then asks you to confirm and replaces the file only once you do. If a use cannot take the new file, for example a cover that must be an image, the Assistant names each use and the reason. If the file is already in your library as another media, it offers to point the uses at that media instead.

### Deleting media

The Assistant deletes media only when you ask. It tells you what uses the media and asks you to confirm first. Media still opened by an Open media step, or shown by a page theme, cannot be deleted until it is removed from those places.

## Step-by-step

1. Open the **Assistant** in the dashboard
2. Click the paperclip and pick the PDF or image from your computer, or drag it into the chat
3. Say what it is for, for example "Make a QR code that opens this menu"
4. Wait for the Assistant to finish, then open the link it created and scan the QR code to test it
5. Check the **Media** section: the file is there, with **Used as** showing where it is used

:::try-ai-prompt {"prompt":"Replace this week's menu with the PDF I'm attaching, and tell me which QR codes will open the new one.","target":"assistant","description":"Attach the new version and confirm the replacement in the chat."}:::

## Frequently asked questions

### Do I need to upload the file in the dashboard first?

No. Attach it in the chat and the Assistant stores it in your media library before using it.

### What happens if I attach a file that is already in my library?

Nothing is stored twice. The Assistant uses the existing media and carries on.

### Can the Assistant replace a PDF without my approval?

No. It lists every use that will change and replaces the file only after you confirm.

### Why didn't my QR code logo change after a replacement?

QR codes keep their own copy of their logo, so a replacement never changes a QR code that may already be printed. Ask the Assistant to set the new image as the QR code logo if you want it there.

### Why was my image refused as a logo?

Logos, covers and badges must be images of at most 3 MB. Attach a smaller version.

### Does the Assistant count toward my storage?

The media it stores counts toward your plan's media storage like any upload. Media already in your library counts once.

## Limits and caveats

- Attachments are up to 50 MB each, and a stored file must fit its kind: images up to 10 MB, PDFs up to 25 MB
- Logos, covers and badges must be images of at most 3 MB
- An upload that would go over your plan's storage is refused
- Replacing a media's file deletes the old file once the new one is in place
- Deleting media cannot be undone, and is refused while an Open media step or a page theme uses it
