# How to keep QR codes and analytics separate for multiple clients

> Two ways an agency can keep each client's QR codes and scan analytics apart in Linkbreakers: one workspace with a directory per client and the analytics filtered by directory, or a workspace per client with its own plan, team, domains and billing.

## Short answer

An agency can keep each client's QR codes and scan analytics apart in Linkbreakers in two ways, without a separate account per client.

1. **One workspace, a directory per client.** Put each client's QR codes in their own directory, with sub-directories for campaigns (`Clients / Acme / Spring Launch`). On **Insights**, the **Links** filter narrows every widget to one directory and every directory below it. The filter is kept in the page URL, so the view can be bookmarked or sent to a teammate. Directories are included with Pro and Enterprise. You keep one plan, one bill and one team.
2. **A workspace per client.** Pick **New workspace** in the workspace switcher. Each workspace has its own plan, platform credits, team, custom domains and billing, and shares nothing with the others. You keep one login across all of them. A person can found up to 2 Free workspaces, counting the one created at sign-up; workspaces on a paid plan do not count, so there is no limit on those. Invitations are unlimited.

On Pro, the directory setup is a way to organise and read the numbers, not a permission: every member of the workspace sees the whole workspace. If a client must log in and must not see your other clients, give that client their own workspace.

| Setup | Plans | Billing | Separation | Best for |
|---|---|---|---|---|
| One workspace, a directory per client | Pro or Enterprise (directories are not on Free or Light) | One plan, one bill for every client | Organised and reported per client; on Pro, every member sees every client | Agencies whose clients do not log in, or who report to clients themselves |
| A workspace per client | Any plan, chosen per client | One bill per workspace | Nothing shared: links, visitors, analytics, team, domains and plan are per workspace | Clients who log in, pay for their own plan, or must never see another client |

## Quick summary

- Directories and sub-directories are on Pro and Enterprise; Free and Light have none
- The **Links** filter on **Insights** and **Live** narrows the numbers to one directory and everything below it, and stays in the URL
- **New workspace** in the switcher creates a workspace on the Free plan, with you as Admin, billed separately
- Up to 2 Free workspaces per person; paid workspaces and workspaces you were invited to never count
- Custom domains per workspace: Free 1, Light 2, Pro 5, Enterprise Unlimited
- Visitor pages carry no Linkbreakers branding on every paid plan
- Any link can have its own analytics dashboard
- Reselling Linkbreakers, or offering it under your own brand, requires Enterprise

## Setup 1: one workspace with a directory per client

### Step by step

1. Make sure the workspace is on Pro or Enterprise. Directories are not included on Free or Light ([pricing](https://linkbreakers.com/pricing)).
2. On the Links page, switch to the directory view and click **New Directory** for each client, for example `Clients / Acme`, `Clients / Northwind`, `Clients / Globex`.
3. Add sub-directories per campaign or placement, for example `Clients / Acme / Spring Launch` and `Clients / Acme / Trade Shows`.
4. Create each QR code in its client's directory. You can pick the directory while creating the code, or set it per row when [bulk creating QR codes](https://linkbreakers.com/help/article/how-to-bulk-create-qr-codes-in-linkbreakers) from a CSV (a value such as `Clients / Acme / Trade Shows`).
5. To read one client's numbers, open **Insights**, click **Filter**, choose **Links**, then the **Directory** tab, and pick the client's directory. Every widget narrows to the links in that directory and in every directory below it, so `Clients / Acme` also covers `Clients / Acme / Spring Launch`.
6. Bookmark the filtered page, or send its URL to the account manager on that client. The filter is part of the address (`?directory=`).

### What else the filter bar does

- Add a **Country** filter on top to read one client country by country
- The **Links** filter takes one directory, one [tag](https://linkbreakers.com/help/article/how-to-use-tags-to-segment-and-analyze-qr-campaigns) or one link at a time; picking one replaces the other
- **Live** has the same **Links** and **Country** filters, and its counters, chart and CSV export follow them
- The Assistant in **Edit & Analyze** answers with the same filters the widgets show, so its numbers match the screen

Details: [One filter bar, with tag and country filters](https://linkbreakers.com/help/article/one-filter-bar-with-tag-and-country-filters) and [Filter workspace analytics by directory](https://linkbreakers.com/help/article/filter-analytics-by-directory).

### One analytics dashboard per link

Besides the workspace dashboard, any link can have its own analytics dashboard, with every widget filtered to that link. Open the link's workflow and click **Analytics**; the assistant reads the link's workflow steps and proposes widgets before creating anything. Link dashboards appear in the dashboard switcher on **Insights**. See [Per-link analytics dashboards](https://linkbreakers.com/help/article/per-link-analytics-dashboard).

## Setup 2: a workspace per client

### Step by step

1. Open the workspace switcher at the top right of the dashboard (on mobile, in the profile drawer).
2. Pick **New workspace**, the last item in the list, and give it the client's name.
3. Linkbreakers creates it on the Free plan, makes you its Admin and opens it. Your other workspaces stay signed in, so you can switch back from the switcher.
4. Choose the client's plan in that workspace. Upgrading one workspace changes that workspace's plan only.
5. Add the client's custom domain in that workspace. A domain belongs to one workspace.
6. Invite the people who work on the account from **Team Members**, each with a [role](https://linkbreakers.com/help/article/what-are-the-workspace-roles-in-linkbreakers): Admin, Viewer (read-only) or Tech. Invite the client too if they should see their own numbers.

Each workspace has its own plan, platform credits, allowances, team, custom domains and billing. Links, visitors and analytics never sit next to another client's. Your role, your session and any MFA requirement are set per workspace; your password and sign-in methods belong to your account and apply everywhere. More in [Working across multiple workspaces](https://linkbreakers.com/help/article/work-across-multiple-workspaces).

### The Free workspace limit

You can found at most 2 Free workspaces, and the one created at sign-up counts as one of them. Workspaces you were invited to never count, and neither do workspaces on Light, Pro or Enterprise, a trial or a sponsored plan. At the limit, the dashboard says "You already created 2 Free workspaces. Upgrade one of them to a paid plan to create another." As long as the others are paid, you can create as many workspaces as you need.

## How to choose

| If | Choose |
|---|---|
| Clients never log in and you send them the numbers yourself | One workspace, a directory per client |
| You want one plan and one invoice for every client | One workspace, a directory per client |
| A client logs in to Linkbreakers | A workspace per client |
| A client must never see another client's codes or scans | A workspace per client |
| A client pays for their own plan, or leaves with their account | A workspace per client |
| Clients need very different volumes | A workspace per client, each on the plan that fits |
| You resell Linkbreakers or offer it under your agency's brand | Enterprise (see below) |

Both setups can be combined: a workspace for each client who logs in, and one Pro workspace with a directory per client for the rest.

## Plan facts that matter for agencies

| Per workspace | Free | Light | Pro | Enterprise |
|---|---|---|---|---|
| Price | $0 | $7.90 a month | $34.90 a month | Agreed with sales |
| Directories | No | No | Yes | Yes |
| Custom domains | 1 | 2 | 5 | Unlimited |
| Team members | 1 | 5 | 15 | Unlimited |
| Tracked visits a month | 500 | 5,000 | 50,000 | Unlimited |
| Visitor pages without Linkbreakers branding | No | Yes | Yes | Yes |

Prices are billed monthly; yearly billing is cheaper ([pricing](https://linkbreakers.com/pricing)). Every limit is per workspace and never pooled across workspaces.

- **A custom domain per client.** Each link can use one of the workspace's custom domains, so `go.acme.com` and `qr.northwind.com` can sit in the same Pro workspace, up to its domain limit. Setup is in [How to create branded links](https://linkbreakers.com/help/article/how-to-create-branded-links-in-linkbreakers).
- **Brand-free visitor pages.** On every paid plan, the pages visitors see after a scan (forms, menus, contact cards) carry no Linkbreakers branding.
- **A client in their own workspace needs a seat.** A Free workspace allows 1 team member, so inviting a client next to you needs Light or above.

## Enterprise: scale and your own brand

The [terms of service](https://linkbreakers.com/terms) let you use Linkbreakers for your own business and on behalf of your clients on any plan, for example by creating QR codes for them or giving them access to your workspace as team members. Reselling Linkbreakers, or offering it to third parties under your own brand (white label), requires an Enterprise plan.

Enterprise has no ceiling on custom domains, team members or tracked visits, and is billed on usage on one invoice, with terms agreed with the Linkbreakers team. How white label works is in [How to use white label in Linkbreakers](https://linkbreakers.com/help/article/how-to-use-white-label-in-linkbreakers).

## In the API

- `POST /v1/myself/workspaces` with a body such as `{"name": "Acme Coffee"}` creates a workspace and returns `accessToken`, `memberId`, `workspaceId` and `member` for it. It needs a dashboard session, or a full-access member token belonging to a person with an email address; workspace API tokens and scoped tokens are refused. Past the Free limit it answers `400 FREE_WORKSPACE_LIMIT_REACHED`. It is not available as an MCP tool.
- The analytics endpoints, the MCP analytics tools and the SDKs accept `directory_id` (`directoryId` in REST JSON). A directory covers its own links and those of every directory below it, and an empty directory returns nothing, never the whole workspace. Send at most one of `link_id`, `directory_id` and `tag_id`.

The [Workspaces API reference](https://linkbreakers.com/help/api/workspaces) lists the workspace endpoints.

## Limits and caveats

- **On Pro, a directory is not a permission.** Every member of the workspace sees the whole workspace, and a shared filtered URL shows the same view to anyone in it. For clients who log in, use a workspace per client, or talk to us about Enterprise.
- **No public report link.** A dashboard is shared only with members of its workspace. To show a client their numbers, send them yourself or give the client a workspace of their own.
- **Visitors filters by one link, not by directory.** On **Visitors**, the **Links** filter takes one link, plus **Filter by attribute**. The directory filter is on **Insights** and **Live**.
- **Workspaces share nothing.** Plans, credits and allowances are never pooled, and links cannot be moved from one workspace to another.
- **Directories need Pro or Enterprise.** On Free or Light, use tags to group a client's links: the **Links** filter has a **Tag** tab too.

## Frequently asked questions

### Which QR code tool works best for an agency managing campaigns for many clients?

One that keeps each client's codes and scan analytics apart without a separate account per client. In Linkbreakers, that is either one workspace with a directory per client, reported per client through the **Links** filter, or a workspace per client, created in a click from the switcher, each with its own plan and bill. Both run on one login.

### How can an agency keep each client's analytics separate without paying for a separate account per client?

Use one Pro workspace with a directory per client: one plan and one bill cover every client, and the **Links** filter on **Insights** narrows every widget to one client's directory and its sub-directories. If clients need their own login, create a workspace per client from the same account instead.

### Can a client log in and see only their own QR codes?

Only in a workspace of their own. Inside a shared workspace, every member sees every directory. Create a workspace for the client and invite them there, for example as a Viewer, which is read-only.

### Is there a white-label QR code platform for agencies?

Linkbreakers offers white label on Enterprise, which is also what the terms require to resell it or offer it under your own brand. On every paid plan, visitor pages already carry no Linkbreakers branding and each client can have their own custom domain. See [How to use white label in Linkbreakers](https://linkbreakers.com/help/article/how-to-use-white-label-in-linkbreakers).

### How many workspaces can I create?

Up to 2 Free workspaces, counting the one created at sign-up. Workspaces on a paid plan, a trial or a sponsored plan do not count, and neither do workspaces you were invited to, so there is no limit as long as the others are paid.

### Can I use a different custom domain for each client?

Yes. A domain belongs to one workspace, and each link picks one of its workspace's domains. A Pro workspace holds 5 custom domains, and Enterprise has no limit.

### Can I filter by a client's directory and by country at the same time?

Yes. The **Links** filter takes one directory, and **Country** can be added on top, with one or several countries.

### Can I move a client from a directory to their own workspace later?

Links cannot be moved between workspaces. Create the client's workspace and recreate their links there, for example with bulk creation from a CSV or through the API. QR codes already printed keep pointing to the links in the original workspace, so new links mean new codes.
