# Your media library: files, kinds, usages and storage

> The Media section of the dashboard lists every file your workspace has uploaded, with its kind and usage, filters, uploads and a storage bar against your plan's allowance.

## Short answer

The media library is where your workspace keeps every file it has uploaded: QR code center images, page theme images and the files [File steps](/help/article/how-to-share-a-file-from-a-qr-code) hand to visitors. Each file has a **kind** (image, document or video), read from the file itself, and a **usage**, which says what it is for. The **Media** section of the dashboard lists them, with filters, uploads, deletion and a storage bar showing how much of your plan's allowance is used.

## Quick summary

- **Media** appears in the dashboard menu once the workspace has at least one file
- Every file has a kind (image, document = PDF, video = MP4) and a usage
- Filter the list by kind and by usage, open a file, upload new ones by drag and drop, or delete them
- The storage bar shows the total size of the workspace's files against the plan's allowance
- Uploads that would go over the allowance are refused, with a message showing current usage
- Nothing is ever deleted automatically; deleting a file frees its space immediately
- QR code images Linkbreakers generates do not count toward storage
- A file a File step still uses cannot be deleted until the step stops using it

## How it works

### Kinds

The kind is what the file is. Linkbreakers reads it from the file's content, not from its name, so a renamed file cannot pass for something else.

| Kind | Formats |
|---|---|
| Image | PNG, JPEG, WebP, SVG |
| Document | PDF |
| Video | MP4 |

### Usages

The usage is what the file is for. It decides which kinds are accepted and how large each file may be.

| Usage | Accepted | Largest file |
|---|---|---|
| QR code center image | Images | 3 MB |
| Background cover (page theme) | Images | 3 MB |
| Badge (page theme) | Images | 3 MB |
| Footer logo (page theme) | Images | 3 MB |
| File for visitors (File step) | Images, PDF, MP4 | Images 10 MB, PDF 25 MB, MP4 50 MB |

Images for QR codes come from the [QR code design](/help/article/whats-a-qr-code-design) editor, images for pages from the [page theme](/help/article/whats-a-page-theme) editor, and files for visitors from a File step or the Media section. Whichever way a file is uploaded, it lands in the same library.

### Storage per plan

Storage is the total size of all the files in the workspace at once. It is a standing total, not a monthly allowance: it does not reset, and deleting a file gives its space back straight away.

| Plan | Media storage |
|---|---|
| Free | 50 MB |
| Light | 1 GB |
| Pro | 10 GB |
| Enterprise | Custom, set per contract |

The same numbers are on the [pricing page](/pricing). An upload that would take the workspace over its allowance is refused, and the message shows how much is used and how much the plan allows. Files already stored are never removed to make room.

The QR code images Linkbreakers generates for your links are not part of the library and never count toward storage.

## Step-by-step

### Open the media library

1. Upload a first file, for example a center image in a QR code design or a PDF in a File step
2. **Media** now appears in the dashboard menu. Open it to see every file in the workspace

### Find a file

1. Use the kind filter to show only images, documents or videos
2. Use the usage filter to show only, for example, the files for visitors
3. Open a file to view it

### Upload files

1. Drag files onto the Media section to upload them
2. Each file is checked against the usage it is uploaded for: its real format and its size
3. Once the upload finishes, the file is listed and can be picked in a File step

### Delete files and free space

1. Delete the file from the list
2. The storage bar goes down at once

If the file is still handed out by a File step, deletion is refused and the message names the links that use it. Point those File steps at another file, then delete it.

## Frequently asked questions

### Why don't I see Media in the dashboard menu?

The section appears once the workspace has at least one file. Upload a QR code center image, a page theme image or a file in a File step, and it shows up.

### What happens when my storage is full?

New uploads are refused with a message showing your usage. Nothing you already stored is deleted. Delete files you no longer need, or move to a plan with more storage.

### Do the QR codes I download count toward storage?

No. QR code images generated by Linkbreakers are not stored in the media library and do not count.

### Why was my file refused?

Either its format is not accepted for that usage (for example a PDF as a QR code center image), it is larger than the usage allows, or it would take the workspace over its storage allowance. The message says which.

### Can I replace a file without breaking my QR code?

Yes. Upload the new file and point the File step at it. The QR code and the link stay the same. See [how to share a file from a QR code](/help/article/how-to-share-a-file-from-a-qr-code).

### Does an Enterprise workspace have a storage limit?

Enterprise storage is set per contract. Talk to your account contact to change it.

## Limits and caveats

- Accepted images are PNG, JPEG, WebP and SVG; documents are PDF and videos are MP4
- Images for QR codes and page themes are limited to 3 MB each
- Files for visitors are limited to 10 MB for images, 25 MB for PDFs and 50 MB for MP4 videos
- Storage is a total across the workspace and does not reset each month
- A file in use by a File step cannot be deleted until no File step uses it
- See [what happens when you reach your plan limits](/help/article/what-happens-when-you-reach-your-linkbreakers-plan-limits) for how other limits behave
