Short answer
Linkbreakers captures lead data through QR-triggered forms and sends it to Pipedrive via webhook and an automation platform. Each form submission can create a Pipedrive Person, Organization, and Deal in a single flow — with the QR code name and campaign source attached as custom fields for attribution. Your pipeline stays current without manual data entry, even when your sales team is on the road.
Quick summary
- Create Pipedrive Person, Organization, and Deal records automatically from QR form submissions
- Log scan activities against Pipedrive contacts for complete interaction history
- Attach offline campaign source data to Pipedrive deals for pipeline attribution
- Route field sales rep scans to the correct Pipedrive pipeline stage and owner
- Works for events, field sales, product demos, and any scenario where leads are captured in person
- Connect via Zapier, Make.com, or n8n as the middleware layer
What you can do with Pipedrive + Linkbreakers
Pipedrive is a sales-focused CRM designed to keep deals moving through the pipeline. Its strength is clarity: every deal has an owner, a stage, and a clear next action. When leads are captured through physical QR campaigns, the challenge is getting them into Pipedrive quickly and completely — before the sales context is lost.
Linkbreakers solves the capture problem. A QR code at an event, on a business card, or in a product demo kit drives a short form submission. That submission arrives in Pipedrive as a fully formed deal, with all available context attached, before the conversation that generated it has ended.
| Use case | How it works | Business value |
|---|---|---|
| Sales rep QR business card → Pipedrive contact | Prospect scans card → form submission → Person + Deal created | Rep's in-person meetings automatically tracked in pipeline |
| Event scan → new deal | Booth QR → form → Pipedrive Deal in "New Lead" stage | Event pipeline built during the event, not after |
| Product demo QR → pipeline entry | Demo kit QR → interest form → Deal with product tag | Track which product demos convert to pipeline |
| Conference scan → deal + activity log | Scan → automation → Deal + Activity (meeting note) | Full interaction log in Pipedrive from day one |
| Multi-event pipeline tracking | Different QR per event → Deals tagged by event source | Compare event ROI in Pipedrive reports |
| Follow-up task creation | Scan → automation → Deal + Task ("Call within 24h") | Automatic follow-up reminders for every new lead |
Key use cases
Turn every field sales conversation into a Pipedrive deal
Field sales representatives spend most of their time on the road, meeting prospects in person. The last thing they want to do after a productive meeting is spend 20 minutes logging a deal in Pipedrive. With a personal Linkbreakers QR code, the rep asks the prospect to scan their code at the end of the conversation. The prospect enters their name, email, company, and interest level in a 30-second form, and a Pipedrive Person and Deal are created automatically — assigned to the rep, placed in the correct pipeline stage, and tagged with the meeting context.
The rep drives away with the deal already in Pipedrive. They receive a Slack or email notification confirming the record was created. The next morning, a follow-up task is waiting for them in Pipedrive.
Build your event pipeline in real time during the event
At a trade show or conference, the quality of your follow-up depends on how quickly you act after the event. Every day of delay reduces response rates. By using Linkbreakers QR codes at your booth to capture form submissions in real time, your team can have deals in Pipedrive from the first hour of the event. Sales managers can monitor pipeline growth in Pipedrive throughout the day, see which conversations are converting to deals, and adjust the team's focus accordingly.
When the event ends, the pipeline is already populated. Your team can begin outreach on day one rather than spending day one on data entry.
Link product demo QR codes to specific pipeline deals
During a product demo, a QR code on a leave-behind brochure or a demo station can capture prospect interest. The prospect scans, submits a short "request more information" form, and a Pipedrive Deal is created — linked to the product they expressed interest in, placed in your demo follow-up pipeline stage, and tagged with the demo location. This makes it easy to report on which product demos generate the most pipeline activity and which convert to closed-won deals.
Automatically create follow-up tasks for every new QR lead
Deals without a next action stall. By adding a step in your automation platform to create a Pipedrive Activity (a call or email task) immediately after creating the Deal, you ensure every QR-captured lead has a scheduled follow-up. The task can be assigned to the deal owner with a due date of one business day after the scan, and the task description can include the prospect's form submission details for context. Nothing falls through the cracks.
How to connect Pipedrive with Linkbreakers
- Log in to app.linkbreakers.com and open the link you want to connect to Pipedrive.
- In the link's workflow editor, add a form step with the fields you need (at minimum: name and email for Pipedrive Person creation).
- In the link's settings, locate the outgoing webhook field.
- In your automation platform (Zapier, Make.com, or n8n), create a new flow triggered by a webhook. Copy the generated webhook URL.
- Paste the webhook URL into the Linkbreakers outgoing webhook field and save.
- Perform a test scan and form submission to send a sample payload.
- In your automation platform, add a Pipedrive action step. Select "Create Person" and map the form fields (name, email, phone) to Pipedrive Person fields.
- Add a second Pipedrive action step to "Create Deal," referencing the Person ID from step 7. Map the QR code name to a custom deal field for campaign attribution.
- Optionally, add a third step to create a Pipedrive Activity (follow-up task) linked to the new Deal.
- Activate the automation. All future form submissions will create Pipedrive records automatically.
Frequently asked questions
Can I create all three Pipedrive objects — Person, Organization, and Deal — from a single scan? Yes. In your automation platform, chain three sequential action steps: Create Organization (if company name is captured), Create Person (linked to the Organization), and Create Deal (linked to the Person). Each step uses the output of the previous step to build the correct relationships in Pipedrive.
How do I assign the new deal to the correct sales rep automatically? If each rep has their own Linkbreakers QR code, include the rep's name or Pipedrive user ID in the QR code's campaign tag or metadata. Your automation platform can read this field and use it to set the "Owner ID" on the Pipedrive Deal when creating it.
Can I set the pipeline stage for new deals automatically? Yes. Pipedrive deals require a pipeline and stage ID. In your automation platform's Pipedrive action step, set a default stage (such as "New Lead") for all QR-captured deals, or use a filter condition to assign different stages based on the form submission data (for example, placing "Enterprise" prospects in a higher-touch pipeline stage).
Does this integration support Pipedrive's activity and note features? Yes. Pipedrive Activities (tasks, calls, emails) and Notes are separate API objects that your automation platform can create and link to a Deal or Person. Add an "Create Activity" step after the Deal creation step to set a follow-up task, or a "Create Note" step to record the form submission details as a deal note.
What happens if the same person submits the form twice? Most automation platforms offer a Pipedrive "search" step that checks for an existing Person by email before creating a new one. If a Person is found, the automation can update the existing record or create a new Deal linked to it, rather than creating a duplicate Person.
Is there a Pipedrive plan requirement for API access? Pipedrive's API is available on all paid Pipedrive plans. The Essential plan and above include API access. Check Pipedrive's current plan details for any per-day API rate limits that may apply to high-volume campaigns.
Limits and caveats
- Integration availability may vary by plan. Visit app.linkbreakers.com to check your current plan.
- Webhook delivery depends on third-party service uptime and configuration.
- Feature availability on connected platforms depends on your subscription with those services.
